To ensure we can provide exceptional service to all those who visit The CCD, we are currently seeking a Rostering Administrator to join our Business Support Team at The Convention Centre Dublin on a full-time permanent basis.
Person Specification
Experience and Knowledge: Rostering experience is an advantage, strong ability to plan, prioritise, and manage a varied workload efficiently. The ability to analyse data and work to tight deadlines.
Technical: Proficient in working with various systems and able to adapt quickly to new tools, good knowledge of Microsoft Office.
Effective communication: both verbal and written, to build understanding and trust.
Customer focus: with a proactive approach to anticipating and meeting client needs, whilst delivering exceptional customer care.
Teamwork: contributing positively to group objectives and supporting colleagues.
Strong interpersonal skills: fostering positive relationships at all levels, self-motivated.
Job requirements
Key Objective
To provide a rostering support service to the Events and Technical department, cover reception and phones and provide general administrative support for The CCD.
Key Responsibilities
Rostering Administration:
Coordination of event hosts and technical team rostering using uTRAC roster system for all available shifts in an efficient and sustainable way within operational budgets and annualised hours contracts
Be the operational department uTRAC superuser
Tracking absences and recoding of such for weekly and annualised hours employees
Raising of POs as required for both departments
Create and update daily host sheets for each event
Track and document changes to all contractor rosters
Reception:
To cover reception and help deliver five-star customer experience both internally and externally. This includes:
(i) Monitoring and actioning Business Support inbox
(ii) Answering, vetting and distributing calls from internal and external clients, managing all queries as appropriate
(iii) Booking taxis and couriers as required
(iv) Directing delegates around the building
(v) Handling customer queries
(vi) Minimising the access for non-delegates into the building
(vii) Supporting internal requests via radio
(viii) Ordering stationery and raise related purchase orders as required
To deliver ad hoc administrative requests as required
To book meeting rooms as required (internally)
Collate and distribute event timings for carpark and traffic reports
Adhoc administration
Any other duties assigned by Senior Receptionist and/or Director during periods of reduced workload.
Duties and responsibilities will vary from time to time and the post holder will be expected to perform other such duties that are reasonably comparable; adhere to Company health, safety and environmental policies; maintain a safe working environment and ensure your work activities are safe.
